Managing Your Availability with Business Hours & Closed Hours
Keep your work and personal time separate
Zoom Phone allows you to control when your phone rings. By setting your Business Hours, you can automatically stop calls from ringing after your workday ends while still allowing callers to leave a voicemail.
What are Business Hours?
Business Hours are the days and times you want your Zoom Phone to ring.
For example:

| Monday | 8:00 AM – 5:00 PM |
| Tuesday | 8:00 AM – 5:00 PM |
| Wednesday | 8:00 AM – 5:00 PM |
| Thursday | 8:00 AM – 5:00 PM |
| Friday | 8:00 AM – 5:00 PM |
Outside of these hours, Zoom uses your Closed Hours settings.
What are Closed Hours?
Closed Hours determine what happens when someone calls you outside of your Business Hours.
Common options include:
- Send callers directly to voicemail (Recommended)
- Play a greeting before voicemail
- Forward calls to another number (if appropriate)
- Route calls to another extension or department
Most staff should choose Send to Voicemail.
How to Set Your Business Hours
Step 1
Sign in to the Zoom Web Portal below or the Zoom Workplace App
Sign in using your YMCA Google account.
Step 2
Select:
Phone then Settings
Step 3
Locate Business Hours.
Click Edit.
Step 4
Select:
- Your working days
- Start time
- End time
Example:
Monday–Friday
8:00 AM – 5:00 PM
Click Save.
Configure Closed Hours
Below Business Hours, you'll find Closed Hours.
Choose what should happen after your workday.
Recommended
✅ Send calls directly to voicemail.
This allows callers to leave a message without your devices ringing after hours.
Need to Work Late?
Simply edit your Business Hours for that day.
Example:
Instead of ending at 5:00 PM
temporarily change them to
7:00 PM
When you're finished, change them back.
Going on Vacation?
Business Hours are not intended for vacations.
Instead, you can:
- Set call forwarding
- Update your voicemail greeting
- Work with your supervisor to arrange call coverage
Frequently Asked Questions
Will my mobile app stop ringing after work?
Yes.
If your Closed Hours send calls directly to voicemail, neither your desktop nor your mobile Zoom app will ring outside your Business Hours.
Can people still leave me a voicemail?
Yes.
Your callers can still leave a voicemail, and you'll receive it according to your voicemail notification settings.
What if I occasionally work evenings?
Simply extend your Business Hours for that day, or use another call handling option if your department requires after-hours availability.
What if I need to answer emergency calls?
Speak with your supervisor. Some departments use call queues, forwarding, or on-call schedules instead of changing Business Hours.

✔ Set your normal work schedule once.
✔ Send Closed Hours calls to voicemail.
✔ Keep your voicemail greeting up to date.
✔ Use call forwarding only when necessary.
✔ Avoid leaving your phone ringing after work unless you are on call.
