Zoom Phone Quick Reference
📞 Making a Call
Internal Calls
- Dial the 4-digit extension.
- Press Send if the call doesn't start automatically.
External Calls
- Dial the 10-digit phone number.
- Press Send.
📲 Answer a Call
When your phone rings, you can:
- Lift the handset
- Press the Answer soft key
- Press the Speaker button for hands-free calling
- Press your headset button (if using a headset)
📴 End a Call
- Replace the handset
- Press End Call
- Press the Speaker button
⏸ Place a Call on Hold
- Press Hold.
- To return to the caller, press Resume.
🔄 Transfer a Call
Warm Transfer (Recommended)
- Press Transfer.
- Dial the extension or phone number.
- Press Send.
- Speak with the recipient.
- Press Transfer again.
Blind Transfer
- Press Transfer.
- Dial the extension or phone number.
- Press Transfer again immediately.
📬 Check Voicemail
Press the Messages button or the Voicemail soft key.
Follow the prompts to:
- Listen to messages
- Delete messages
- Return a call
🔇 Mute Yourself
Press Mute.
- 🔴 Red light = Muted
- Press again to unmute.
🔊 Adjust Volume
Use the Volume button on the lower-right side of the phone.
You can adjust:
- Handset volume
- Speaker volume
- Headset volume
- Ringer volume (while the phone is idle)
🔈 Speakerphone
Press the Speaker button to:
- Make hands-free calls
- Switch between handset and speaker during a call
⭐ Favorites (If Configured)
Your administrator may configure:
- Speed dials
- BLF (Busy Lamp Field) keys
- Quick transfer buttons
These appear on the display next to the programmable line keys.
Front Panel Overview

Helpful Tips
✔ Use Warm Transfer whenever possible.
✔ Use 4-digit extensions when calling coworkers who have been migrated to Zoom Phone.
✔ If another location has not yet migrated, dial the person's 10-digit direct number until all locations are on Zoom.
✔ Keep Zoom Workplace running on your computer if your extension is configured to ring both your desk phone and computer.
