1. Open Fax in Zoom Workplace
- Open the Zoom Workplace desktop app and sign in.
- Select Phone.
- Select the Fax tab. Your Inbox opens by default.
Do not see Fax? Contact IT. Fax access must be enabled, and sending requires an available
fax/direct number.
2. Send a Fax
- In Fax, click the + (add) button to create a new fax.
- In To, enter the recipient's fax number, then press Enter. You can also select an available
contact. - In From, select the fax number you are authorized to use.
- Choose a cover page, if needed.
- Add the document(s) you want to fax.
- Review the recipient, fax number, cover page, and attachments, then click Send.
Supported attachments
PDF, JPG/JPEG, TXT, PNG, DOC, and DOCX. Total attachments can be up to 50 MB.
Encrypted/password-protected PDFs are not supported. Zoom Online Fax sends faxes in black and white.
3. Confirm the Fax Was Sent
Open Fax > Outbox to review sent faxes and their status. If transmission reports are enabled, use the More (...) menu next to a fax and select View transmission report.
• Verify that the fax shows a successful/completed status before assuming it was delivered.
• If a fax fails, confirm the fax number and try again. If failures continue, contact HelpDesk.
Good Faxing Practices
- Double-check the fax number before sending, especially when the document contains confidential information.
- Use a cover page when appropriate and include only the minimum information needed.
- Confirm successful transmission in Outbox.
- Do not leave downloaded fax files in Downloads or other temporary locations longer than
necessary. - If you receive a fax you were not expecting, or that appears suspicious, do not forward it;
contact HelpDesk. - Need help? Contact the HelpDesk.
