Terminating a Membership (with Registrations and Past-Due Balances)

1. Search for and click on the Member wishing to terminate their membership.

2. Verify the draft date of the Member. For those that draft on the 1st of the month, select the last date of the month as their termination date. See next steps for if a member is drafted monthly on the 15th.

3. Click on the Edit pencil next to the Active status.

4. Select "Terminate Membership"

5. Use the dropdown to select a reason for the termination, enter any necessary notes, and enter the Membership End Date. For those drafting on the 1st of the month, choose the last day of the month. For those drafting on the 15th, choose the date the member has paid through (14th of the month).

6. In the third step, you will review any past-due balances that the member has. Keep these in mind to either handle prior to the cancellation process or immediately after. Click the "No Changes, Continue" button.

7. In Step 4, review any registrations for the member unit and make note of any changes needing to be made to the program fees.

8. Click the "Next" button.

9. Review all of the information and click the "Finalize Termination" button.

11. For those billed monthly on the 15th, you must also update the Next process date so that their new fees do not generate on the 1st of the month. To do this, click the Edit pencil next to the Next Process Date at the top left of the Membership Information page.

12. Edit the Next Process Date to one month past the month of termination. This will ensure that the Unit does not generate dues on the 1st of the month since they will still be active at that point. Type the reason as "Termination" and click the "Update" button.

13. You will automatically be brought back to the Membership Information page where you can now see this membership is set to terminate on 9/14/23.

14. If you have not already, be sure to collect all past due balances. Refer to M# for Taking Payments and Paying off Balances.

15. Search and click on the Member wishing to terminate their membership. From their "Membership Information" page, click on the Edit pencil next to the Active status.

17. Use the dropdown to select the Reason for Termination and enter the Membership End Date. For those drafting on the 1st of the month, choose the last day of the month the Membership End Date. For those drafting on the 15th, be sure to make the Membership End Date the 14th, and then edit their Next Process Date to ensure their are no dues calculated for them on the 1st of the month when they are still active. See steps 11 and 12 above for how to update a Next Process Date. Click the "Next" button.
